We agree which sources may be used, how supporting passages appear and when a question goes to a person; an answer is not assumed to exist for every question.

Answers
Readers need a way to check each answer; a citation alone does not make an answer correct.
Show the answer with a supporting document, section or passage, and a version or update date where available. How readers open the source depends on the selected storage system.
If sources do not answer a question or two documents conflict, the assistant should state the limit and refer the question to the responsible person. It must not invent prices, terms or rules.
A subject specialist reviews a question set covering known facts, out-of-scope requests and changed information. Acceptance criteria specify how to check answers, citations and access permissions.

Handover covers updates, feedback and the costs that continue after implementation.
Agree who adds, edits, removes and approves sources. When a version changes, refresh the searchable data and recheck relevant questions on an agreed schedule.
Before using real data, define which documents may go to external services, where they are stored, who has access and how long question history is kept. Rules depend on the agreed tools and requirements.
Data preparation, setup, integrations and testing are quoted separately from AI, storage, hosting, source maintenance and support. The estimate follows the actual collection and intended usage.
