A report is useful when its readers understand the same number in the same way.

Source, period and cutoff

Record the source system or file, owner, read access, date range, time zone and cutoff. Note delayed sources to avoid comparing different periods.

Keep different metrics separate

Views, contact-link clicks, received enquiries and orders are separate measures. Agree filters, statuses and deduplication; do not add them together as a customer count.

Choose an output for its readers

Select a spreadsheet, recurring report or dashboard around how the team works. Define pages, charts, filters and viewing permissions in the scope.

Why not add these values together as customers?

Each row measures a different action. No matching key establishes that the 12 enquiries came from the 40 clicks, or that the 3 orders came from the 12 enquiries, so this example does not calculate a conversion rate between these sources.

Handling the missing revenue row

“Not provided” does not mean zero revenue. The reviewer must supply the revenue source or approve a narrower report scope, with the omission clearly stated.

Reconcile before releasing a report

Successfully generating a report does not establish that all sources are present or calculations are correct.

Check against the source

Compare row counts, totals and selected sample records with their sources, and record retrieval time. Acceptance criteria define how discrepancies are detected.

Show what is missing

Flag failed sources, late data and changed formats. If essential information is missing, the report must show that it is incomplete rather than appear final.

Assign a reviewer

Identify who checks results before sending or granting access. If an AI summary is added, it must stay within the calculated data and be reviewed separately.

Schedule, changes and running costs

Handover covers how to read the report and maintain it when sources or requirements change.

Schedule and recipients

Agree frequency, recipients, access and how to flag data that is not ready for the reporting period. Automatic delivery is enabled only under approved conditions.

Track calculation changes

Keep metric definitions, filters and the effective date of changes. When the method changes, explain the limits of comparisons with earlier periods.

Separate setup from operation

Implementation depends on sources, report templates and update frequency. Tools, APIs, storage, optional AI and support have separate costs; time saved needs to be measured after launch.

Can you use several data sources?

We can assess this, but access, formats and matching keys must be confirmed for each source. Records are not assumed to match merely because they cover the same dates.

Will the report update in real time?

Frequency depends on sources, APIs, tool limits and the requirement. We agree a suitable schedule rather than assuming instant updates.

Can reports be sent to the team automatically?

This can be scoped after agreeing recipients, permissions, schedule and release conditions. Missing sources or outstanding approval need a separate handling rule.

Are the example figures a client's results?

No. They are fictional figures illustrating periods, sources and different metrics. They do not demonstrate business results or service performance.

What is needed for a quote?

A redacted example report, source list, frequency, readers and existing definitions. Integrations, dashboards and an AI summary are confirmed within a specific scope.
