Start with a specific task before choosing connections. For enquiries or handoffs involving Vietnamese and English, agree the required fields, message wording and reviewer. We define the trigger, input data, branches and output; AI is included only when it has a suitable job.

Workflow design

Map the workflow before connecting tools

A workflow needs a starting point, processing conditions and a result that can be checked.

A defined trigger

Choose a schedule, manual action or event supported by the source system. Agree frequency, permitted input and who may start the workflow.

Verify the actual integration

Review available connectors, APIs, account permissions, usage limits and a test environment. An application appearing in an integration list does not confirm that the entire workflow is possible.

Output and approval

Agree the file, record or notification to create, its destination and the completion condition. Keep a human confirmation step before actions that require approval.

Validate required fields → look up EVT-7 → prepare one record. Confirm completion only after checking the destination response.

The service field is missing

Hold the request with the missing-data reason and ask the responsible person to complete it. Do not create a record as if the input were complete.

The destination times out

It is unclear whether the record was saved. Check EVT-7 at the destination before retrying; avoid creating a duplicate merely because no response arrived.

Handle missing data, duplicates and failures

Failure paths are part of implementation scope, not an alert added at the end.

Validate before writing

Define required fields and valid formats. Hold incomplete data with a reason and a responsible reviewer instead of creating an incomplete record.

Retry without duplicate writes

Select an appropriate event ID or matching key. Retry only actions established as safe; if the destination may already have saved the result, check it first.

Send failures to the right person

Agree who receives an alert, what they need to investigate and how work resumes. A failed workflow must not report success simply because it sent a notification.

Tools, licensing, access and responsibility after delivery need to be considered together.

Your account or internal infrastructure

Consider your n8n Cloud account or internal server according to the requirements. Review the applicable plan and licence before confirmation; reselling access to n8n is not assumed to be part of this service.

Permissions and execution history

Agree who may edit workflows, how connection credentials are managed and how long execution data is retained. API keys and real data do not belong in public examples.

Instructions and ongoing costs

Hand over the diagram, agreed configuration, stopping instructions, troubleshooting and retry procedure. For a self-hosted instance, agree who owns backups and recovery. Implementation is separate from platform, hosting, API, AI and support fees; post-handover monitoring is agreed separately.

A few useful answers to help define the right scope.

Can you improve an existing n8n workflow?

We can assess a diagram or export with sensitive information removed. We review its purpose, version, failures and permissions before defining the work.

Can n8n connect every application?

That is not assumed. APIs, permissions, limits and supported destination actions must be checked. Some steps may need manual work or a different approach.

Does n8n replace a CRM?

n8n coordinates steps between systems; record storage, permissions and the interface your team uses still need to be defined. A CRM or internal tool may be part of the workflow rather than something it replaces.

Does the sample diagram execute a real workflow?

No. It is a fixed illustration of valid, incomplete and failed paths. It does not connect to an n8n server, send notifications or write to an external system.

How are implementation and platform fees estimated?

The quote follows the steps, conditions, integrations, testing and operating requirements. n8n plans, hosting, APIs or AI, where needed, are separate. The FAQ AI pilot price is not assumed to cover this work.
